## The consignments list

**Consignments** shows your consignments as cards in the **Grid view** or as a **Table view**. Filter by **Direction** — **Outgoing**, **Incoming**, **Internal transfer** or **Third party** — by **Loan period** — **Current**, **Upcoming** or **Past** — and tick **Include archived** to see closed ones. A consignment opens beside the list; its works lie as a small pile of pictures on the card, and at the top of the record a click on any picture opens that artwork full screen. The **Calendar** shows, month by month, what begins, ends or runs.

## What a consignment records

A consignment says which way the art is moving, between whom, and for how long. It carries the **Document date**, the loan period **From** and **To** — or **Ongoing** — a **Subject**, an **External reference** and a **Consignment no.**, taken from the counter under Settings → Consignments if you wish. Under **Parties** you choose the **Consignor** and the **Consignee**, fill their addresses from the contact, and name the **Facilitator**. Under **Terms & options** you write the **Terms** or pick a term template, decide whether the consignment is **Financial** or **Non-financial**, and can **Change availability** of the consigned works once when you save. Each of the **Consigned works** carries its **Price**, its **Commission** as a percentage or a fixed amount — **Set commission of all works to** sets one commission for every work at once and leaves their additional costs as they are — and any **Additional costs** with your own label. Documents, exhibitions and sales live on the record, and large consignments load their works in pages.

## Creating a consignment

Pick works in the basket and choose **Consign**: the consignment opens with those works on it, prices filled in. **Add consignment** on the Consignments page starts from scratch; works are dragged into order and files uploaded in place. WrkLst warns you if a colleague is editing the same consignment.

## Creating a sale from a consignment

**Create a sale from this consignment** starts with the artworks: tick the ones being sold — only available works are offered — then set the options. **Executed through** says whether the sale is internal, by an external seller or by an external gallery; choose the **Buyer** and, on a financial consignment, the **Billing mode** — **Retail price**, **Retail minus commission** or **Commission only** — and whether the retail price comes from the consignment or from the artwork. **Show the retail price with the commission as a discount** lays the invoice out that way. The sale opens with those works on it; see [Holds & Sales](/holds-sales/holds-sales).

## Never missing an expiry

Consignments have deadlines, and missing one is expensive. Switch on **Consignments** under Settings → **Notifications**, and WrkLst tells you **1 week before end** and **On end** — in the app, and by email as well if you tick **Email** there. The calendar view shows what is current and what is about to run out. The [calendar feed](/settings/calendar-feed-your-wrklst-dates-in-your-calendar) puts **Consignments out**, **Consignments in** and **Consignments, third party** (which also carries your internal transfers) into your own calendar app, and a consignment can be added to the [Timeline](/timeline/timeline).

## Seeing consignment status on a work

The consignment status of each artwork appears on the work itself, so when you are browsing available works you can see immediately what is genuinely free to offer.

## Sales report and costs

A consignment shows what it actually sold — the total, how much each colleague sold, and every sold work with its buyer and invoice, with your own sales, external sales and donations and gifts in separate groups — and a bar showing where every work stands, by number of works or by value. A sold work counts its value as in Reports & Analytics (without VAT and after discounts, without shipping or additional costs), and the report counts the sales of the consigned works from the consignment's start date on. In the **Value** view, works sold before that start date have no figure and are counted apart as **Sold earlier: n**; **No figure: n** counts only works that have no price or whose sale the report cannot see. Beside it, **Production & expenses** sums the production and framing costs of the consigned works, grouped **By payer** or **By work**, with **Download PDF** and **Download spreadsheet**. The sales report is shown to everyone who may see sales reports, **Production & expenses** to everyone whose role may read the values of works.

## Internal transfers

Which way a consignment moves is read from your **Account headquarters** under Settings → General Account: away from it is outgoing, towards it incoming, between two other contacts third party — with no headquarters set, every consignment counts as third party. If you run more than one space, list them under Settings → General Account → **Additional locations**: moves between two of your own spaces then show as an **Internal transfer**, and you can filter for them.
