Setup WrkLst Mobile App
Installing the WrkLst app and connecting it to your account. Download the app Download the app on your device — iPhone or iPad running iOS 17 or newer — from the Apple App Store: WrkLst on the App Store For Android phones and tablets, the WrkLst app is on Google Play. Log in Once the app is installed, log in with the email address and password you use for WrkLst in the browser. It is the same sign-in: one email address and one password for all your WrkLst accounts. Pair a device from Settings You can also pair a device by scanning a code. Open the menu under your name, choose Settings and then Mobile App. Choose Pair a device and scan the QR code with the WrkLst app on your device. Settings → Mobile App. Settings → Mobile App. The same page lists the Paired devices: for each one the user, the device and when it was last connected. Remove device unpairs it; the person can pair again at any time. Check your permissions Your user account also needs the Mobile App permission — see Permission Requirements. Most users have this already; legacy accounts with custom roles sometimes do not. First synchronisation After a successful login the app performs an initial synchronisation of your WrkLst database. This is what makes the app work offline: all records are held on the device, and only image data is loaded when it is needed. From then on the app keeps everything in sync automatically. If a device is lost When you choose a new password through the reset email, you can tick Also disconnect my apps and devices. This signs the WrkLst app out on every iPhone, iPad and Android device, in all your accounts. If you only forgot your password, leave it unticked and everything keeps working. A single device can also be removed under Settings → Mobile App. No app? Use the web client You do not have to install anything. The full WrkLst web interface works in a phone browser too, which is useful on a borrowed device — though only the apps work offline. Synchronize your Account or single inventories
How to synchronise your WrkLst account with the WrkLst app on iPhone or iPad, and how to synchronise a single inventory rather than everything. Why synchronisation matters The WrkLst app keeps a copy of your records on the device, which is what allows it to work offline. That is the point of it: at an art fair, in a viewing room or anywhere the signal is poor, the record is still with you. Synchronisation is how that local copy is kept current. The app keeps everything in sync automatically: changes made on the device are sent once the connection returns. Full account or single inventories You can synchronise your whole account, or restrict synchronisation to individual inventories. Restricting it is useful when your archive is large and you only need part of it on the device, or when you are travelling with a specific selection of works. When to synchronise Even though the app synchronises on its own, run a synchronisation before you leave for a fair or a studio visit, and again after a session where records changed on the device, so the local copy is complete. Images are loaded on demand, so an initial synchronisation brings across the records themselves rather than every image file. Still using WrkLst Classic? Permission Requirements
What permissions you need in order to use the WrkLst mobile app. Subscription To use the WrkLst app you need an active WrkLst account with a valid subscription. Using the app is included in your subscription at no additional fee. The Mobile App permission Most users have a role that already allows the mobile app. Legacy accounts, however, may have custom roles that do not include the Mobile App permission. To check, look at the role assigned to your user, then at that role's permissions: 1. Open the menu under your name and choose Settings. 2. Open User Management. The Users list shows everyone in the account; select your user to see the Role assigned to it. 3. Open User Roles and select that role in the Roles list. 4. In the Settings group of the role's permissions, check that Mobile App is enabled. If it is not, enable it and choose Save. System roles cannot be edited. If you cannot see these options If User Management or User Roles do not appear in your Settings, your user does not have permission to edit users or roles. Contact your account administrator or owner, who has full access to all WrkLst functionality. Still using WrkLst Classic? How to log in to your WrkLst account from the app on iPhone. What you need Log in with the same email address and password you use for WrkLst in the browser. It is one sign-in for everything: one email address and one password for all your WrkLst accounts. Your user also needs the Mobile App permission — see Permission Requirements. After logging in The app runs an initial synchronisation so your records are available offline, and keeps them in sync automatically from then on. See Synchronize your Account or single inventories. If you cannot log in Check first that your email address and password work in a browser. If your password is rejected there too, the sign-in screen can email you a link to reset it — see Signing in: one login, passkeys and two-factor authentication. If your credentials work in the browser and the app still refuses, the most likely cause is a missing Mobile App permission on your role. Contact your account administrator, or email support@wrklst.art. Signing the app out of a lost device When you choose a new password through the reset email, tick Also disconnect my apps and devices: this signs the WrkLst app out on every iPhone, iPad and Android device, in all your accounts. Share one or multiple Artworks
How to share a single artwork, or several at once, using the basket in the WrkLst app on iPhone. Sharing one work Open the work and share it directly. This is the quick path when a client asks about a specific piece while you are standing in front of it. Sharing several For more than one work, use the basket. Add works to the basket as you move through the app, then share the whole selection in one go — the same basket concept used in the browser, so a selection behaves the way you expect.
