Settings › Website holds what applies to your whole website: its address, its colours, typefaces and logos, how it keeps itself up to date with WrkLst, whether visitors can send enquiries, and your imprint and privacy policy. This article describes Settings › Website in WrkLst 10.
Who sees what
Settings › Website is for administrators. At the top, the Plan card shows how the website is part of your plan — see Website Data and Website Complete. Everything below it appears once your website has been created with Create your website in Website.
Theme, Publishing and Forms keep your changes until you choose Save changes, or Discard to drop them. The buttons for hosting and for the legal pages act at once.
If your role can open Settings › Website but not the Website module itself, the page says so and points to User Roles, where an administrator can add the module to your role.
The website exists only in WrkLst 10.
Hosting: your website's address
Until hosting is switched on, your website has no address, and Hosting says so. Choose Enable hosting; this needs the right to publish the website, which administrators have. Setting up the address takes a few minutes — Check again looks once more. Then Hosting shows Your website's address is ready: with a link, and Nothing is public until your first publish.
The address carries the name of your WrkLst address: if you sign in at yourgallery.wrklst.com, your website is at yourgallery.wrklst.site. It comes with a secure connection, and there is nothing for you to set up with a domain provider.
If hosting cannot be switched on for your account yet, the card says so and offers Contact us. If setting it up did not finish, try Enable hosting again.
Theme: colours, typefaces and logos
The Theme card sets your website's colours, typefaces and logos:
- Accent marks the current page in the menu and the current slide. Wall is the page background. Each is set for Light and for Dark pages.
- A colour that would make text hard to read is darkened or lightened where needed, and the card tells you: Shown as … instead of …. Use the theme's colour goes back to the theme's own.
- Typefaces — Serif headings with Inter or Inter throughout.
- Logo for light pages and Logo for dark pages — Upload logo, or Replace logo once there is one. A new website starts with the Account logo from Settings › Presentations. Without a dark logo, a logo with a transparent background is shown in white on dark pages. Below each logo, a choice named after it, such as Logo for dark pages: background, says whether the picture has Its own background or is Transparent; As detected leaves that to WrkLst.
- Pages — whether your website's pages are Light or Dark.
A logo has to be an image of its own: finished uploading, not confidential, and not a picture of a work, a contact or an exhibition.
The menu
The menu at the top of your website lists your Artists, Exhibitions, Works and Contact pages once they are published, under their titles and in the order of your page list. Your logo leads to the home page, and the imprint and privacy policy sit at the foot of every page. To take a page out of the menu, turn off Show in the menu in its page settings in Website; to rename it, change its Title.
Publishing: how your website keeps up to date
The Publishing card sets Keep the site up to date with WrkLst:
- manually — pages whose data changed in WrkLst wait until you publish.
- every night — once a night, the pages whose data changed in WrkLst are published.
- every hour — within the hour, the pages whose data changed in WrkLst are published.
Whatever you choose, your own edits to a page are never published automatically, and works do not wait: when a work that a published page shows changes — its availability, its price, its pictures or its details — the pages that show it update on their own, usually within a few minutes, and new pages for your artists, exhibitions and works can go online with them; a work, picture, artist or exhibition you take off the website leaves it at once. See Works, artists and exhibitions on your website.
The look and the logos you save here go online only when you choose Publish all in Website; no other publish takes them along. A page set to Keep the published version while I edit gets them only when you publish that page itself. Two switches under Forms reach your published pages without waiting for a publish: switching Enquiries on the website off takes the enquiry form off every page, and switching E-mail each enquiry on or off updates the form's short privacy note — on a page set to Keep the published version while I edit, once you publish that page.
Forms: enquiries from your website
Enquiries on the website is off at first. Switch it on and save: WrkLst adds a section about enquiries to the draft of your privacy policy. The enquiry form appears once that privacy policy is published — publish it, or choose Publish all.
From then on, every work in a block of works and on its own page carries an Enquire button, except a work set to Only look in its Website card. It works like a basket in a shop: it collects the work, a note offers Enquire now or Continue browsing, and Your enquiry at the bottom of the page opens the enquiry with every work collected — also from other pages of the website, in the same browser tab. The visitor gives a name, an e-mail address, a phone number if they like, and a message, and can tick Remember my details on this device to have the form filled in the next time; a check in the browser keeps out automated spam without sending anything to anyone else. Each enquiry becomes a new lead in Leads with the works it asks about. It is not linked to a contact or assigned to anyone yet, so the people who may see every lead are told about it, as far as their New leads setting under Settings › Notifications allows. A second enquiry from the same address about the same work within a day joins the first lead, as long as that lead is still open and not linked to a contact. See Leads.
With enquiries on, E-mail each enquiry appears below the switch, and it is on. Each enquiry is then sent in full by e-mail, with name, e-mail address, phone, message and works, to everyone who is told about website enquiries in their own New leads setting — a second enquiry that joins an earlier lead too. Reply to the e-mail and your answer goes to the visitor. For these people the e-mail replaces the short new-lead e-mail; the notice in WrkLst stays. Under Also send to, add up to 10 further addresses, such as a colleague or a shared inbox; only people with access to Leads can change them, everyone else sees them listed. If nobody is told and there is no further address, no e-mail goes out. The e-mails do not wait for your privacy policy: one that is already online says that enquiries are e-mailed only once you publish it again (see below).
Legal pages: imprint and privacy policy
Your website comes with an imprint and a privacy policy, written from your account's details when the website is created. Legal pages lists both with their state — Published, Not published yet or Missing — and Edit opens a page to change it like any other. Create the missing legal pages makes one again if it is gone.
- The Imprint names your company with the address and e-mail address of your headquarters and, from Seller under Settings › Accounting, who represents it, its phone number, its register entry and its VAT ID. If your headquarters has no e-mail address, the one in Seller is used; if Seller has no VAT ID, your headquarters' is used. A line your account has no details for is left out.
- The Privacy policy names your company as responsible and explains how the website is delivered, that visits are not recorded and no cookies are set, what View in Room does, where the data is kept and which rights visitors have — and, once you switch enquiries on, what happens to an enquiry, how the spam check works, and that a visitor’s details stay in their browser only when they tick Remember my details on this device. While E-mail each enquiry is on, it also says that each enquiry is e-mailed to the people who deal with it and to your further addresses. WrkLst adds that sentence to the draft each time you save this page and before every publish; a privacy policy that is already online shows it only once you publish it again. Switching the e-mails off later leaves the sentence in place until you take it out.
Once made, the texts are yours to change. These texts are a starting point, not legal advice. Have them checked before your website goes online.
Your website goes online only together with both pages. Use Publish all for your first publish: it takes them online with the rest.
When an address changes
A page keeps its address once it has one. If you change the address of a published page, its old address leads to the new one. If a record leaves the website, the address of its page leads to the list page above it — an artist's to your Artists page, for example — so links to your website do not end on an error page.
