Waitlists

On this page

A waitlist holds the collectors waiting for a work by an artist, in the order they asked. You keep it on the collector's contact, the artist's contact shows the whole line, and WrkLst finds the people on it when a new work or a show of that artist comes up. This article describes waitlists in WrkLst 10.

What a waitlist is

Each entry pairs a collector with an artist, with a note and the date it was added — "a large canvas, blue period", for example. For the collector it is a list of the artists they are waiting for; for the artist it is a line of collectors, and a newcomer joins at the end. A waitlist belongs to the contact, not to a lead: a lead is one conversation, a place in line lasts until you take it away.

Putting someone on a waitlist

  • On the collector's contact, open Leads & waitlist. Under Waitlists, the plus (Add to waitlist) asks for the artist under Add artist and a Note; Save changes adds them at the end of that artist's line. On a row, the pencil edits the note and the bin takes the entry off.
  • Edit waitlists in the contact's action menu shows all the collector's waitlists at once, to add artists, change notes and remove entries.
  • In the contact form, the Waitlists section does the same with Add an artist….
  • On a lead that turns out to be a wish for later, Add to waitlist opens the contact's waitlists with the lead's artists already added at the top; nothing changes until you choose Save changes. See Leads: follow every enquiry from first contact to sale.

Taking someone off asks first, because they lose their place in line: added again later, they join at the end.

The line on the artist's contact

An artist's contact shows Artist waitlist once someone is on it: the collectors in their order — #1, #2, … — each with the date they were added and their note, and a click opens the collector. Copy the waitlist copies the whole line as text, dated and numbered with the notes, ready to paste into an email.

To change the order, choose the pencil on Artist waitlist; the artist's form opens at that section. Drag a collector by the handle, or move one to the top with the star (Make primary); Add a collector… adds someone at the end, and Remove takes an entry off. Choose Save changes to keep the new order.

Finding the people on a waitlist

  • In Contacts, the Filter finds them under Relationships › On the waitlist for and the artist.
  • With Opportunities on, a place on an artist's waitlist is a reason — Waitlist — to propose the person for that artist's shows and new works, and it does not fade with time. A client on a waitlist can also come up on Stay in touch once they have not heard from you for longer than their rhythm. See Opportunities: whom to contact next.

Who may do what

Seeing and keeping waitlists is a right of its own, Read and edit for waitlists in Settings › User Roles. Changing a waitlist also needs the right to edit contacts, and on a confidential contact the right to reveal it. Copying the line needs the right to share contacts. See Users, roles and permissions.
