Holds and Sales in WrkLst. Reserve a work for a client, turn the hold into a sale, and know what's been paid.
Everything you have sold is under Sales, newest first. Each card shows the client, the works, the total and whether it's paid. Prefer rows? Switch to the table and sort by client, invoice number or date.
Looking for one sale? Start typing in the search. A client, an artist, a title, an inventory number or an invoice number will find it right away.
The filter narrows it further. By default you see sales and donations. Choose Hold for every current hold, or Past due for payments that are late. Add a year or a facilitator.
A hold starts on the work. Open its actions and choose Hold. Set how long, until a date or for a few hours or days, pick the client and put it on hold. The work now shows as held.
A work on hold shows its hold on the card. Click the hold sign to see who it's held for, until when and by whom. Edit hold changes the time or client, Release hold frees the work, and Hold to sale makes it a sale.
The sale now appears under Sales, with the work, the client and the price. Open it beside the list to see who bought, the total and the payment status, and below, every line of the invoice.
Edit sale opens the whole form. Set the date, the facilitator and how it was sold. Add a consultant if there is one. For each work, set the price, a discount, additional costs and the tax.
When the money comes in, choose Record payment on the work. A sale can also carry a payment link. And under Payments, WrkLst matches what reaches your bank, Stripe, Shopify or QuickBooks to the right sale.
To send the invoice, use Share as. WrkLst creates the PDF or Word file on your letterhead. For numbered invoices that can't be changed, there's invoice bookkeeping, with e-invoices and DATEV export where they apply.
Five habits make it work. Give every hold an end time. Always name the client. Turn holds into sales with Hold to sale. Set a payment due date. And record every payment as it arrives.
That's Holds and Sales in WrkLst. Holds start on the work, and you'll find every sale under Sales in the sidebar.
