Payments in WrkLst. Every incoming payment, from your bank, Stripe, Shopify and QuickBooks, in one place, and mostly booked on the right sale by itself.
In Sales, switch to Payments. Every incoming payment is listed with its account, payer, purpose, amount and status. The filter shows what's still to do, what's parked for a person, and what's done.
Under Accounts, add a German bank account. Enter the IBAN, and the bank is recognised by itself. Add your online-banking login and choose an app approval, and the account is read twice a day without you.
Banking elsewhere in Europe, or using PayPal? Upload the statement your e-banking exports, such as camt, MT940, OFX, CSV, Excel or a PayPal export. For a spreadsheet, you confirm the columns once. The matching is the same.
Stripe, Shopify and QuickBooks are accounts of their own, read every hour and matched like your bank. Each QuickBooks company counts separately. Banking in the US with Stripe? Link the account through Stripe's bank login.
A payment whose purpose names the invoice or sale number, and whose amount fits, is booked by itself, even one transfer for several invoices. So is a known client's payment that fits exactly one open item. The reason is written beside it.
Everything else waits for you, with suggestions under Book on. Each one says what matched: the number, the amount, a known IBAN or the name. Check it, and choose Book. A partial amount leaves the rest open.
Does the purpose name an invoice that's already paid? Then nothing is booked: that's a double payment or a mistake. Take booking back voids a booking with a reason, it's never deleted. And Set aside clears what belongs to nothing.
Every booking reaches the sale. Its payment status follows, and Payments received links to each transfer. With invoice bookkeeping, the payment lands on the invoice itself. You can still record a payment by hand.
Let clients pay by card. Under Settings, Integrations, choose Stripe, Shopify or QuickBooks as your payment gateway. Tick the payment link on the sale and send it. Once the client pays, the sale marks itself paid, and nothing is booked twice.
Five habits make it work. Put the invoice number in every payment request. Connect every account money arrives on. Check the open payments once a day. Look into a blocked number before booking it by hand. And set aside transfers between your own accounts.
That's Payments in WrkLst. You'll find them in Sales, behind the switch to Payments, and online payment under Settings, Integrations. More in the help centre.
