Importing works

Importing works in WrkLst. Bring in a spreadsheet of any length, update the works you already have, and let sales, exhibitions and lists come along, all checked before anything is saved.

Open Settings, then Import, then Open Artwork Import. Or, in an inventory, choose Import works. Choose an Excel or CSV file, however long. WrkLst reads it in the background, so you can close the page and come back.

Then WrkLst shows which column holds which field. It recognises export layouts it knows, reads the rest with AI, or goes by the headings. Correct anything once. The next file with the same headings starts from your matching.

For the whole file, you set things once. An artist for rows without one, keeping your own inventory numbers, a tag for every work. A status column is listed word by word, and you say once what each word means.

Pictures come from your media library. Upload them first, named like the inventory number, or list their file names in a column. WrkLst finds them and adds them to the works, in order.

What comes with the works is up to you. Create a sale for every sold work. It is a record only, with no invoice. Date and price come from the file, never from the day of the import. Holds, exhibitions and lists can come along too.

In the review, everything that needs a look is one entry, such as Check: Price. Open it, fix the rows, or leave them all out at once. Check values lists every value of a field. Change it once, and every row follows.

Import the same file again, and the works WrkLst already has are each marked Updates, with their number. Fill in what they leave empty, take the file's values, or leave them as they are. No work is created twice.

Choose the inventory and import. The works are created in the background. Changed your mind? Undo import removes the works it created, with their sales and links. A work someone has changed since stays.

Five habits make the difference. Tag every import. Correct the matching once, it is remembered. Name pictures like the inventory number. Check the problems before you import. And import again to update, instead of editing by hand.
